About the Role
An excellent opportunity for an experienced Legal Assistant, Legal Secretary, PA or professional services administrator to join a busy and collaborative Corporate team.
You will provide high-quality administrative and legal support to fee earners, helping to deliver an efficient, professional service to clients. The role will involve legal administration, document production, client communication, file management, compliance, billing, CRM administration and business development support.
The successful candidate will be highly organised, commercially aware, proactive and confident working in a professional services environment, with excellent attention to detail and a strong commitment to client service.
Key Responsibilities
Legal & Administrative Support

  • Provide efficient administrative and legal support to corporate lawyers and fee earners.
  • Manage competing workloads, prioritising tasks according to deadlines and client requirements.
  • Assist with file opening, management, document production, filing, archiving and retention.
  • Manage calls, emails, post and correspondence professionally.
  • Draft letters, documents, bills and other correspondence using precedents and templates.
  • Assist with basic legal processes, forms, documentation and funding arrangements.
  • Arrange meetings, conference calls and appointments.
  • Manage online portals, legal technology and business systems.
  • Provide general administrative and document management support.

Client Service

  • Communicate professionally with clients and external contacts by telephone, email and in person.
  • Provide consistently high levels of client service and customer care.
  • Build positive relationships with clients, colleagues, agents, referrers, experts and other solicitors.
  • Respond promptly to enquiries and ensure appropriate follow-up.
  • Represent the organisation in a professional and commercially aware manner.

Compliance & Confidentiality

  • Follow internal policies, procedures and business processes.
  • Maintain high standards of confidentiality, information security and data protection.
  • Support file opening, client onboarding, AML checks, risk management and compliance procedures.
  • Assist with file audits and ensure documentation meets required standards.
  • Ensure work is completed accurately and in accordance with relevant legal and regulatory requirements.

Business Development & CRM

  • Support business development, networking and marketing activities.
  • Assist with meetings, events, presentations and client materials.
  • Maintain accurate client and contact information within the CRM.
  • Input and manage client, referral and relationship data.
  • Support colleagues in using the CRM effectively.
  • Identify opportunities to improve systems, processes and administrative workflows.

Teamwork & Continuous Improvement

  • Build strong relationships across the Corporate team and wider organisation.
  • Work collaboratively to ensure work is completed accurately and efficiently.
  • Coordinate meetings, training and team activities where required.
  • Take ownership of small projects and administrative initiatives.
  • Contribute ideas to improve processes and operational efficiency.
  • Act as a positive ambassador for the organisation.

About You
You will ideally have:

  • Previous experience as a Legal Assistant, Legal Secretary, Legal PA, PA or similar support professional – essential.
  • Experience within a professional services environment, ideally a law firm – essential.
  • Strong organisational, administrative and prioritisation skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • A good understanding of client service and relationship management.
  • Excellent knowledge of Microsoft Office, including Word, Outlook and Excel.
  • Confidence using CRM systems, online portals and digital platforms.
  • An understanding of confidentiality, data protection, AML and compliance requirements.
  • The ability to work independently and collaboratively.
  • A proactive approach and willingness to identify process improvements.
  • A professional, approachable and commercially aware manner.
