Description
An exciting opportunity has arisen for an Administration Assistant to join an reputable Law Firm in Newcastle to join their public sector team
The ideal candidate will have previous administration experience within a busy team, be self-motivated, confident, flexible in their approach and have exceptional organisational skills.
Excellent communication skills are also essential, as is the ability to deal competently with clients and with internal stakeholders of all levels across the firm.
Duties will include:
Ability to prioritise a busy and varied workload to include, but not limited to:
File opening and management in accordance with firm protocols and ensuring compliance with Money Laundering Regulations, Sanction checks, department protocols and Firm and Unit quality systems at all times;
Assisting with paper and electronic filing, mailbox management and file closure / document storage;
Scanning, photocopying, and document collation;
Downloading / saving electronic documents;
Diary management as required, including:
Arranging internal and external meetings, telephone/video conferences;
Booking meeting rooms and arranging refreshments/equipment;
Assist with the preparation of papers, agendas and distribution of documents;
Assist with arranging quarterly file reviews in accordance with firm protocols and collation of responses for submission;
Assisting with time recording and preparing file notes;
When required assist with document processing to a high standard to include:
Preparing correspondence and documents;
Document management / version control;
Formatting/house style, stripping and reformatting documents, dealing with corrupt documents;
Track changes / DV comparisons;
Converting documents into different formats;
Liaising with clients when required and assisting the Project Administrator with organising client care meetings, Unit and Sector business development initiatives, external events, tender preparation and billing administration;
Assist the monitoring team with their on-site work and follow up actions when required. Note: this will involve travelling to/from various client sites around the country and may include overnight stays;
Undertake any reasonable request not particularised above that arises from the business activities of the PUBS team and Healthcare sector.
